Make Custom Changes to Individual User Email Signatures
You can now customize individual email signatures directly within a Workspace using the Visual Editor.
Previously, creating a signature that differed from the Workspace Template often meant setting up an entirely separate Workspace—even when most of the design and information remained the same. With user-level editing, you can fine-tune specific signatures while keeping your entire team together in one Workspace.
How user-level customization works
Every user in a Workspace starts with the shared Workspace Template. You can then select an individual user and override only the fields or design elements that need to be different.
For example, you might want to:
- Remove a salutation or sign-off for a particular user
- Show or hide a profile image or logo
- Remove contact details that are not relevant to an individual
- Add a unique call-to-action
- Show or hide selected social media icons
- Add an accreditation, certification or award badge
- Add or remove any other editable element in the signature
Only the customized fields or elements are overridden. The rest of the signature continues to use the shared Workspace settings, making it easier to maintain a consistent design across your team.
How to edit an individual user’s signature
- Open the Workspace containing the user you want to edit.
- Open the relevant template in the Visual Editor.
- Select Users from the menu on the right.
- Find and select the user whose signature you want to customize.
- In the Edit Scope section, switch from Workspace to User.
- Make your changes using the Visual Editor.
- Select Save to apply the changes to that user’s signature.
The preview in the center of the editor will show the selected user’s personalized version of the signature.
Identifying customized users
Users with individual changes are marked in the Users panel, making it easy to see which signatures differ from the main Workspace Template.
When you select an edited user, SigStudio will also display a list of the fields that have been overridden for that person. This helps you quickly understand exactly how their signature differs from the Workspace version.
You can also use the Edited only filter to display only users who currently have custom changes.
Removing individual overrides
You can return a user to the standard Workspace Template at any time.
Select the user in the Users panel and choose Remove all overrides. Their custom settings will be removed, and their signature will once again follow the Workspace-wide settings.
Workspace editing and user overrides
When a user has custom settings, their overridden fields are managed separately from the Workspace Template. Fields that have not been customized will continue to follow the shared Workspace settings.
This means you can update your overall branding and signature design without needing to maintain several nearly identical Workspaces.
Keep your team together in one Workspace
User-level customization gives you the flexibility of individual signatures without sacrificing centralized management.
Instead of creating separate Workspaces for small variations, you can now:
- Maintain one shared template
- Keep branding consistent
- Customize only what is necessary
- Easily identify individual overrides
- Return users to the Workspace defaults whenever needed
This makes it much easier to manage teams where most signature details are shared, but certain people require their own unique content or design adjustments.
